1. Protection of personal and confidential information

DHC Corporation (“DHC” hereinafter) employs the utmost care in protecting customers’ personal information and confidential information. The personal information of customers will be used solely for the purposes of use announced in advance by DHC through various media, such as mail-order sales and various services.

2. Purposes of use of personal information

Names, addresses, gender, dates of birth, telephone numbers, email addresses, and other personal information obtained through the DHC Corporation Translation & Interpretation Services website (hereinafter referred to as the “Website”) shall be used for the purposes of making various proposals and announcements related to DHC services and providing related information, as well as for internal studies and research. However, when a purpose of use is specified individually, that purpose of use shall apply.

3. Prevention of unauthorized access

Customers’ personal information and confidential information shall be managed using the strongest possible security measures to prevent loss, unauthorized alteration, leakage, damage, or unauthorized access. Any personal information from customers entered via the Website is transmitted encrypted using Secure Sockets Layer (SSL) technology.

4. Compliance with laws and regulations concerning personal information

Customers’ personal information shall be handled securely in compliance with the Act on the Protection of Personal Information and other applicable laws. In addition, DHC will not provide personal information provided by customers to any third party without the customers’ consent, except in the following cases:

1. As required under laws or regulations
2. When necessary to protect human life, safety, or property, or in similar cases where it would be difficult to obtain the consent of the individual concerned
3. When necessary in expedient public health situations, children’s welfare, or in similar cases where it would be difficult to obtain the consent of the individual concerned
4. When necessary to cooperate with the administration of laws or regulations by a national or local government agency or a party entrusted by such agency, or in similar cases where obtaining the consent of the individual concerned could impede the performance of such administration.

5. Management of personal information

The personal information of customers shall be managed strictly and thoroughly within DHC and, in some cases, by subcontractors who obtain information or other materials from DHC for use in outsourced services such as delivery. When DHC shares such personal information with subcontractors, confidentiality agreements are concluded between said parties, and DHC continuously monitors their implementation of services to ensure that such personal information is not used for unintended purposes.

6. Requests for disclosure of personal information

Customers may call 03-6880-2620 from 9:00 am to 5:00 pm (closed Saturdays, Sundays, holidays, and year-end holiday) to request the disclosure of registered personal information.

7. Thorough protection of personal information and confidential information

DHC provides thorough security training to staff handling customers’ personal information and confidential information in order to prevent incidents such as leakage or unauthorized alteration of such information. DHC diligently carries out regular inspections to ensure that such information is handled appropriately, and it responds swiftly if any improvements are necessary. In addition, it upholds customer trust by maintaining a system in which all employees pay close attention to the importance and security of personal information and confidential information in the course of all their duties.
